Dynamics 365 as a Platform for Community Care

Microsoft Dynamics 365 Business Central (D365 BC)  

Dynamics 365 Business Central should be understood not as a stand-alone application, but as a powerful and extensible financial and operational platform. Velrada has longstanding experience deploying Business Central within health and community environments, particularly where workforce mobility, asset oversight, tenancy management and facilities coordination intersect. In this landscape, ISV solutions such as SOFT4Spaces (formerly SOFT4RealEstate) and Wiise have proven exceptionally valuable. These solutions enhance Business Central with capabilities for tenancy management, rental operations, asset and facilities oversight, and complex funding models such as the National Disability Insurance Scheme (NDIS).

As Microsoft continuously evolves the Business Central platform through major and minor Wave updates, organisations must ensure ongoing alignment. These updates introduce new features, structural changes and hotfixes that may impact integrations or configuration. SOFT4Spaces has similarly advanced, with significant enhancements released in October 2025, most notably the ability to link master contracts with multiple sub-contracts in a hierarchical structure, and to issue invoices either jointly or individually. This functionality directly benefits multi-unit retirement villages, community housing providers and clinical facilities operating under shared funding arrangements. SOFT4 has also refined data structures to ensure ongoing compliance with Microsoft’s stability, extensibility and API standards.

Wiise and NDIS Integration

For organisations operating within Aged Care, Nursing Homes, SIL and disability services, NDIS integration is often a core requirement. Wiise, built on Business Central by KPMG, offers strong native support for the NDIS funding and billing model. With an embedded connector for NDIA payment channels, Wiise enables seamless claim submission, reconciliation, pricing controls, bulk payment requests and compliance reporting.

While Dynamics 365 Customer Engagement or Field Service systems typically manage service delivery, rostering, plan management and participant interactions, Wiise complements these operational systems by handling revenue, payments, invoicing and financial reconciliation. This creates a robust and compliant solution architecture where operational and financial information flow together without duplication.

Conceptually, the integration between NDIA systems and Wiise, via Business Central, forms one part of a broader digital ecosystem. Business Central manages financial operations, Customer Engagement supports frontline service delivery, and the Microsoft Cloud for Healthcare provides clinical interoperability and health-data standards. SOFT4Spaces

SOFT4Spaces provides a rich rental and property management capability that aligns strongly with the requirements of Retirement Villages, SIL accommodation, Aged Care homes and Healthcare facilities. It enables detailed oversight of units, buildings and spaces, including floor-area changes, asset tracking, photographs, floor plans and related notes or documentation. All relevant property information is consolidated in one place, improving accuracy, compliance and operational insight.

The platform also distinguishes between prospective and current tenants or residents, improving the onboarding process and maintaining clear visibility of occupancy and pipeline demand.

A key advantage of SOFT4Spaces is its flexible cost allocation engine, enabling organisations to distribute charges such as administration fees, maintenance, taxes or utilities through automated Common Area Maintenance (CAM) calculations. This is particularly beneficial in environments where multiple tenants share common facilities.

SOFT4Spaces includes built-in maintenance capabilities, supporting planned, reactive and recurring maintenance workflows, but can also be enhanced with enterprise-grade solutions such as Dynaway EAM. Its Work Order capabilities allow providers to register, assign and track maintenance tasks, offering a simple and effective operational model for property-centred care environments.

Dynamics 365 Customer Engagement

Dynamics 365 Customer Engagement delivers the operational, workforce and client-interaction capability essential for modern Community Care. While Business Central manages finance, procurement and core operations, CE brings person-centred service delivery to life through Dynamics 365 Field Service.

Velrada has implemented Dynamics 365 CE and Field Service for multiple health, disability and aged-care providers across Australia. Through this experience, Velrada has developed a purpose-built Support at Home billing and claims module, aligned specifically with the Department of Health’s reform program. This module captures time, travel, consumables and funding rules directly within CE/FS and produces structured Aged Care Provider Portal (ACPP) reports for compliant lodgement.

The Field Service Mobile App empowers frontline care providers by delivering schedules, client information, digital checklists, visit notes, photos, signatures and GPS-verified attendance directly to their mobile device. All data syncs back into Dataverse in real time, supporting quality assurance, incident management, safety and reporting.

Field Service’s service agreements allow organisations to configure care programs, funding entitlements and service bundles that underpin rostering and scheduling logic. Velrada extends this through two-way integration with Business Central, enabling service events, time entries and travel costs to flow into billing, payroll and financial workflows.

The schedule board provides dispatchers and coordinators with a real-time view of shifts, appointments, qualifications, travel times and staff availability. For more complex environments, especially those governed by awards, shift patterns and clinical team structures, Velrada’s Power Roster adds advanced rostering capabilities using the Power Platform and Dataverse. Together, CE, Field Service and Power Roster deliver industry-leading capabilities for large, mobile, multidisciplinary care workforces.

Microsoft Cloud for Healthcare

The Microsoft Cloud for Healthcare (MC4H) acts as the unifying layer that brings together clinical, operational and financial information across the Community Care ecosystem. While Dynamics 365 Business Central and Customer Engagement manage core business processes, service delivery and workforce operations, MC4H provides the clinical interoperability framework, data standards and health-specific capabilities necessary for modern, connected care. For aged care, disability services, community nursing and Support at Home programs, this enables a seamless flow of information between frontline staff, coordinators, clinicians and external healthcare providers.

A key strength of MC4H is its native integration with Dynamics 365 Customer Engagement, enabling care teams to surface clinical insights, patient demographics, care plans and relevant health interactions directly within CE and Field Service. This creates a unified view of the client or resident without requiring staff to switch systems. For organisations delivering multidisciplinary services, home care, nursing, allied health and clinical outreach, this integration significantly improves continuity of care, quality and operational efficiency. Information captured in CE, such as visit notes, observations, or incident reports, can also be mapped back to clinical datasets as required, supporting more consistent documentation and reporting.

The platform is built around the Fast Healthcare Interoperability Resources (FHIR) standard, allowing Community Care organisations to exchange data with hospitals, GPs, pathology providers, radiology systems and other health services using a modern, open and vendor-neutral approach. Through FHIR, organisations can integrate with digital imaging systems, electronic medical records, discharge summaries and shared care plans. This ensures that care providers visiting clients in their homes or residential facilities have access to the most up-to-date health information, reducing duplication and improving clinical decision-making.

MC4H also provides powerful capabilities for remote monitoring, supporting integration with a wide range of medical and wellness devices. Velrada has delivered a remote monitoring platform and custom connector to capture real-time data such as blood pressure, oxygen saturation and heart rate. These data points can be surfaced within Dynamics 365 CE as actionable insights, triggering alerts, creating work orders, notifying clinicians or prompting welfare checks. For ageing-in-place programs or clients requiring proactive oversight, this creates a safer, more responsive and more integrated model of care.
